AutoFORM Process Document Management for Infor System21
Linking Document Images to System21 Screens
AutoFORM PDM links documents to System21 screens that are created and received in virtually any
format: System21 generated, PDF, Tiff (fax), email , CAD, and many others. As each document is
imported into the archive, AutoFORM and System21 process.connect automatically creates an index
based on the data within the document. This means that it can be subsequently retrieved using a
number of different search criteria, including document type, date, name and value.
AutoFORM can integrate with System21 explorer or Aurora Workspace.
AutoFORM Document Imaging (Scanning): AutoFORM captures documents from scanners and uses
data from System21 to index and automatically distribute each document to the appropriate
person, department, or approval chain.
AutoFORM COLD Archive: Allows for the automatic archiving of documents as they are
generated by System21 and any other ancillary IT application. You can arrange for every
document that you create to be stored, however, it is often preferable to arrange for AutoFORM
to selectively archive just critical documents such as invoices, orders, certificates of
analysis and other transaction documents.
Each document is stored as a true facsimile of the original printed document, complete with
original document heading and digital signature if required for Sarbanes Oxley.
AutoFORM PC Document Import: This facility allows documents that would normally reside
on an individual PC to be viewed alongside other archive & scanned documents. Many archiving
systems miss these important documents as people simply do not have the time to print, scan and
then index. The advantage with AutoFORM is that by using Windows Explorer, everyone can add
documents to the archive, to a prescribed, consistent indexing system, and what is quick and
easy to do is more likely to be done.
Word, Excel Spreadsheets, PDF Technical Specification Sheets, Quality Certificates, CAD
diagrams, digital photographs & video, digital recordings, emails and faxes, can all be
archived either in a project folder or associated with other archived records. For example a
spreadsheet showing supporting calculations could be archived with the final quotation.
